How to Generate a Salary Slip from ESSL eTimeTrackLite

Turning your eTimeTrackLite attendance into salary slips takes five quick steps. You’ll first export the attendance CSV from your eTimeTrackLite software, then upload it here — the tool handles the rest.

Tab 1 — Setup

This is where you set the “rules” for how everyone gets paid. You fill it once; it applies to all employees (you can change it for individual employees later on page 3).

  • Company name: Type your company’s name — for example, Acme Industries Pvt. Ltd. It appears at the top of every salary slip, so write it the way you want it printed.
  • Month / Period: The salary month, like January 2026. This shows on the slip too. It fills in automatically to the current month, but you can change it.
  • Salary calculation based on: Pick how you pay your people. Hourly rate — you pay per hour worked. Calendar days — a fixed monthly salary divided across all days in the month. Working days — a fixed salary divided across scheduled working days (excluding weekly offs). The boxes below change depending on what you choose here.
  • Rate per hour (₹): (hourly mode) What you pay for one hour of work — say 150. The tool multiplies this by the hours each person actually worked (from their punch data) to get base pay.
  • Basic monthly salary (₹): (calendar/working mode) The fixed monthly basic. The tool divides this across the month’s days and pays for the days each person was present.
  • Shift hours per day: (hourly mode) Your standard shift length, like 8. The tool uses this to fairly split HRA and allowances based on how much someone actually worked.
  • Working / Calendar days in month: (calendar/working mode) The number the tool divides salary by — around 26 for working days, or 28–31 for calendar days.
  • HRA (₹ / month): House Rent Allowance. Enter the monthly figure; the tool automatically prorates it by attendance, so someone who worked less gets proportionally less.
  • Other allowances (₹ / month): Any other regular monthly allowance. Also prorated by attendance.
  • Other deductions (₹ flat): A fixed monthly deduction (like a canteen or advance recovery). Taken off as-is.
  • Overtime multiplier: (hourly mode) How overtime is paid. 1× — same as normal rate. 1.5× — the common legal standard. 2× — double, often for holidays. A live preview shows the effective OT rate as you pick.
  • Overtime rate (₹/hr): (calendar/working mode) A flat rupee amount paid per overtime hour.
  • Late deduction per occurrence (₹): How much to dock each time someone is late (beyond a 5-minute grace). Leave it 0 if you don’t deduct for lateness.
  • Provident Fund (PF/EPF) checkbox: Tick this if PF applies to your staff. The tool then calculates it automatically.
  • Employee State Insurance (ESI) checkbox: Tick this if ESI applies. The tool applies it automatically and handles the eligibility limit for you.

Tab 2 — Import CSV

This is where you bring in the attendance data.

  • Upload area: Click it and choose the Daily Attendance CSV you exported from eTimeTrackLite (Attendance Reports → Daily Attendance Reports → CSV Export). The tool reads it instantly.
  • Load sample data: No file handy — or just want to see how it works on your phone? Tap this to load a ready example, so you can try the whole tool without your own CSV.
  • CSV preview: After uploading, you’ll see a quick preview and a row count, so you can confirm the right file loaded before moving on.

What happens automatically here: the tool reads every daily row and counts, per employee, their present days, absent days, total hours worked, overtime hours, and late arrivals — all the tallying you’d otherwise do by hand.

Tab 3 — Payment Details

Now every employee appears in a table, already filled with your Setup defaults — because real payroll is never one-size-fits-all.

  • Rate / Basic: Change the pay rate for any single person without affecting anyone else.
  • HRA / Allowances / Other deductions: Adjust these per employee as needed.
  • Incentive (₹): Add a one-time bonus or incentive for the month to anyone who earned it.

Edit only what needs changing — everything else keeps the default you set in Tab 1.

Tab 4 — Results

Hit Calculate payments, and the whole payroll appears on one screen.

  • Summary cards at the top show totals: number of employees, total net payout, total OT and incentives, and total deductions.
  • The results table lists every employee — present/absent days, hours, overtime, gross pay, PF, ESI, total deductions, and final net pay.
  • View slip next to any employee jumps straight to their salary slip.

Tab 5 — Pay Slip

The finished salary slip for any employee

  • Select employee: Pick whose slip to view from the dropdown.
  • The slip itself: A clean, professional layout — earnings on the left, deductions on the right, net in-hand at the bottom — showing exactly how each figure was reached.
  • Download PDF: Save the slip as a PDF to print or attach.
  • Share (WhatsApp / Email / SMS): Send the employee a link to their own slip, straight to their phone. This is the tool’s mobile superpower — HR can distribute every payslip in seconds without printing anything.
