When you enter a start and end date-time, the calculator converts both into a precise point in time and finds the exact difference between them. That raw difference is then expressed in two different ways, because there are two genuinely different ways to answer “how much time is between these dates” — and people need different ones for different jobs.
The first way is the total duration — the whole gap expressed purely in hours, minutes and seconds (and as a decimal-hours figure). This is the linear, running-total view: every day counts as exactly 24 hours, so it’s perfect for timesheets, billing, and any situation where you need one continuous number.
The second way is the calendar breakdown — years, months and days. This is how humans naturally describe long spans (“2 years, 3 months and 5 days”). It’s the intuitive view, but it’s also where manual calculation goes wrong, because it depends on the actual length of each month and year involved.
This is the part that trips up manual counting. Months aren’t equal — they run 28, 29, 30 or 31 days. Years aren’t equal either: a leap year has 366 days instead of 365, adding February 29. A leap year occurs every four years, with one exception — century years only count if divisible by 400 (so 1900 was not a leap year, but 2000 was).
